There are two ways to end up here. If someone sent you a link to a short interview, read the first part. If you use UnderHeard Studio to run studies, read the second.

If you were invited to an interview

You were sent a link to a short voice conversation. You talk to Lina, who is an AI, about a product or service you use. The company that invited you decided to run the study and owns the findings; we run the interview for them and handle the data on their instructions.

What we collect

  • Your voice, while the conversation is running. The call is recorded.
  • The transcript — a written version of what you and Lina said.
  • The analysis — themes and short quotes pulled from your answers, which go into a findings report for the team who invited you.

We also hold the name and contact details the team gave us in order to invite you. They already know who they invited, and they can see your interview against your name in their own dashboard. In the findings report itself, quotes appear without a name attached.

Who else handles it

Three companies process your data on our behalf. We do not sell it, and nobody uses it to advertise to you.

  • ElevenLabs (Eleven Labs Inc., United States) runs the voice conversation. They hold the recording and their own copy of the transcript. Because they are in the US, that transfer runs on standard contractual clauses and their certification under the EU-US Data Privacy Framework. We have turned off their use of our conversations to train or improve their services.
  • Anthropic (Anthropic Ireland, Limited) reads the transcript to produce the analysis, under standard contractual clauses. They do not train models on it, and they delete what we send them within 30 days.
  • Supabase stores the transcript and the analysis in a database in Ireland (AWS eu-west-1), under standard contractual clauses.

The application itself is hosted on Vercel, with the code that handles your interview running in Frankfurt.

How long we keep it

We keep the transcript and the analysis for as long as the team who invited you is working with the study. We have not yet set a fixed deletion date, and we would rather say so than print a number we do not keep to. Until we do, you can have yours deleted at any time by asking — see below.

ElevenLabs keeps its copy of the recording for the retention period set on our voice agent, then deletes it. Anthropic deletes its copy automatically within 30 days.

Your rights, and how to use them

You can ask for a copy of your data, ask us to correct it, ask us to delete it, or withdraw your consent — at any time, and without giving a reason. Withdrawing consent does not undo the part of the conversation that already happened, but it stops anything further being done with it.

The quickest route is the team who invited you, because the study is theirs. Ask them, or write to support@underheard.ai and we will route it to them and act on it ourselves.

When a deletion request reaches us, it removes your transcript and the analysis built from it, and it cuts your quotes out of the reports and theme summaries they had already reached — including a report that has already been shared. We then ask ElevenLabs to delete their copy of the recording; deleted items can persist in their backups for up to 30 days. Anthropic's copy expires on its own within 30 days and cannot be deleted on request before then.

If you think we have handled your data badly, you can complain to your national data protection authority.

Google sign-in

When you sign in with Google we receive your name and email address. We use them only to authenticate you and identify your account. We never receive your password, we do not share or sell this information, and we do not use it for advertising.

Other data

Information you enter or record while using the service is used only to provide the service to you and your organization. That includes the interview data described in the first part of this page, which your organization is responsible for as the team running the study.

Cookies

We use only the cookies needed to keep you signed in. No advertising or cross-site tracking cookies.

Deletion

To ask about your data or request its deletion, write to support@underheard.ai.

Changes

If this policy changes in a meaningful way, we will update this page and its date.
